What Is a KDS (Kitchen Display System), and What Does It Do?

A KDS — Kitchen Display System — is the system that manages incoming orders on a screen in the kitchen instead of on a paper ticket.

Its purpose is not merely to move the ticket onto a screen. It is to make visible when an order arrived, which station it belongs to, and how long it has been waiting.

What a KDS is

A KDS carries the order created at the POS onto a screen in the kitchen, and lets preparation status be updated there. The order card sits on the screen; a prepared item is marked off, and a finished order leaves the list.

How it differs from a ticket printer

A ticket printer prints the order once and that is the end of it. If the paper is lost the order is lost; nobody knows how long an item has been waiting, and a cancellation or change reaches the kitchen by word of mouth.

On a screen the order is a live record. A change appears immediately, a cancelled item drops off, and an order that has been waiting shows it with colour.

The difference is between seeing the order and seeing the state of the order.

Why station routing matters

An order is not prepared in one place. The grill, cold kitchen, desserts and bar all work at different speeds. Station routing means each screen shows only its own items.

Set up correctly, the items for a table are ready at the same moment. Without it, a bar order waits in the kitchen list, the grill waits on the cold kitchen, and the order of service falls apart.

Which channels reach the kitchen

The value of a kitchen display appears when it collects every channel in one list, not just dine-in orders.

If channels are followed on separate screens the kitchen cannot see which order came first, and the queue ends up determined by how often someone looks at each channel's screen.

How prep time is measured

The gap between the moment an order appears on the screen and the moment it is completed is that order's kitchen time. Once this data accumulates you can read average prep time per item, load per station and distribution by hour.

With a paper ticket there is no such measurement, and every judgement about service time rests on a guess.

What to look for when setting one up

  • Do all order channels land on the same screen?
  • Can station routing be defined per item?
  • Does a change or cancellation reach the kitchen immediately?
  • Is waiting time visible on the screen?
  • Can prep time be reported?
  • Is the screen suited to a kitchen — heat, steam, grease?

A KDS is not about putting a screen in the kitchen instead of paper. It is about making measurable where an order came from, which station it belongs to and how long it has waited.
